How to Prepare Sample Photos for Accurate Parts Matching

Photo and measurement tips that help suppliers check replacement parts when a part number is missing or unclear.

Key sourcing takeaways

Use part numbers, OEM references, equipment model and photos together when possible.

Confirm quantity, packing request and destination before comparing quotations.

For unclear parts, sample photos, drawings and dimensions are often more useful than a short product name.

Good sample photos can greatly improve parts matching accuracy. A single front photo is usually not enough. Buyers should take photos from multiple angles, including front, back, side, connection points, labels and any visible number or marking.

For parts with dimensions, place a ruler or caliper in the photo when possible. Important measurements may include length, width, thickness, hole distance, thread size, port direction, shaft type, pin size, chain pitch or filter diameter. For worn parts, show both the damaged area and the full outline.

Lighting and background matter. Use a clean background, avoid strong shadows and make sure the part is not cropped. If the part belongs to a larger assembly, send one photo of the installation position as well.

When photos are combined with equipment model, quantity and destination, the supplier can check the sourcing direction more efficiently. For high-risk items, a drawing or physical sample may still be needed before bulk order confirmation.

Before sending an inquiry

Prepare numbers, photos, drawings, equipment model and working position when available.

Before confirming an order

Review MOQ, lead time, packing method, shipping marks, destination and inspection needs.
